Job Summary:
The Grants Coordinator’s primary role is to assist in the day-to-day administrative functions of the Quality of Life (QOL) grants program through numerous projects and responsibilities. Primary responsibilities include helping to manage incoming grant requests via online application management system; vetting grant requests for eligibility; communicating with applicants when additional information is required; assisting with preparation of application materials for review; assisting with preparation, review and mailing of award and declination correspondence (via email and regular mail); and assisting with grant follow-up materials. This position coordinates the final report process: integrate hard copy and electronic legacy data into new database; help to implement online submission process for final reports; extract data and create reports on impact measures. This job also involves working with various Foundation staff (Communications, Development) to supply information regarding the QOL grants to be used for grant applications, website, social media, etc. This position may assist with other emerging PRC initiatives managed by other program directors as needed.

Responsibilities:

  • Data entry, validation and updating
  • Create spreadsheets, summaries and other program reports and presentations
  • Execute grant schedule and assist QOL Grants Program department in adhering to federal grant guidelines
  • Oversee grants management software
  • Track receipt of grants and record changes in grants awarded authorized by program director in database
  • Communicate with grant recipients regarding grantee requirements, including interim and final report due dates and grant close-out procedures
  • Review interim and final reports
  • Develop and maintain a network of relationships with grantees and Foundation staff
  • Work with Communications Department to spotlight grantees for blog, website, and other forums to highlight grantee accomplishments and success stories
  • Assist with the data verification for migrating legacy data from old database into new database
  • Create mail merges for email and regular mail correspondence
  • Disseminate grant award packages using USPS and other delivery options
  • Review requests from grantees to redirect grant funds or for no-cost extensions
  • Monitors email box, responds to requests, and shares request with appropriate staff for fulfillment
  • Assist in retrieving information for annual audit
  • Research, prepare and send correspondence notifying U.S. representatives and senators of QOL grants awarded in their districts/states via email
  • Provide information on the QOL grants in a timely fashion as requested by staff members and contracted consultants
  • Participate in the QOL grants review meetings. Read and assess assigned grant applications and take meeting notes
  • Update QOL records, including lists of contact information for grantees and grants awarded in cities and towns within each state as needed
  • Update website after each grant cycle with description of grantees
  • Coordinate check presentations, production and distribution of QoL grant decals, etc.
  • Research all listings (3,000+) on the QOL online searchable database and note updates to contact information where needed

Minimum Requirements:

  • Bachelor’s Degree or relevant work experience
  • Travel 2-4 times a year
